How Norla Enterprise Works

Basic Data Entry

Enter your company data, client and contractor information online via the set-up and administration screens. This information is held in a completely safe environment hosted in a secure data centre. This data is available to authorised users only and cannot be seen by clients or contractors using the system. Norla Enterprise can provide assistance with pre-loading large volumes of data if required.

Project set up

Enterprise allows you to manage just one contractor on site or up to many hundreds working on multiple projects, perhaps with different billing rules. Setting up multiple projects is simple and allows the system to provide the reporting and visibility both you and your client require.

Contract set up

Select your client, project and contractor and create a contract. Enter the rates agreed with the contractor, map these back to your client billing rules and that’s it. Save the contract to allow you to open the contractor’s portal and to send them their ID and password to access the portal.

You can set up as many contracts as you need. A contractor timesheet web portal is automatically created and ready to use for each contract.

Timesheet Entry Authorisation

Timesheet authorisation is handled on a weekly basis by the system. Enterprise will provide full visibility of each client billing period and which contractors are falling behind on their timesheets.

Contractor Agency Billing

Once the end of the contractor billing period is reached, subject to authorised timesheets being present, the agency is auto-billed by the system. Billing periods are typically weekly or monthly, but other periods such as fortnightly or every four weeks are also commonly encountered. The contractor billing period is configured by the agency before the timesheet portal is set up. This avoids errors and mismatches caused by contractors raising invoices on separate systems.

Agency Client Billing

Configure your projects to ensure you raise invoices exactly as your client requires. Contractor by contractor or project by project, Enterprise will reconcile timesheets for one or for many contractors working on the same project when it is time to bill your client.

Raising Invoices

You will automatically receive contractor invoices from the self bill contractor portal. These will be based on authorised timesheets from the client. Enterprise will tell you when the next client billing period has been reached, and show you which contractors and which authorised timesheets are to be included. Submit the invoice in one click and a detailed invoice and itemised report are created and delivered directly to your client.

Missing timesheets

If timesheets are missing, Enterprise tells you where and when and helps you decide which to omit or which to include in a client invoice. If necessary, Enterprise allows you to directly amend and submit a contractor’s timesheet yourself. Omitted timesheets can be carried forwards into new billing periods or separate invoices for the same billing period can be raised when the missing timesheets are completed.

Credit notes and adjustments

Credit noting an invoice is simple, releasing timesheets back into the system for reinvoicing. Once timesheets are corrected and resubmitted, just click to resubmit and deliver the invoice.

Visibility

Enterprise generates standard reports that provide instant visibility into the profitability of a client project or contract and the invoice pipeline. Bespoke reports are available on request. The system interface itself provides an excellent snapshot of the status of client projects and each and every contract.
